Appointment Policies
Booking Appointments
All appointments must be scheduled in advance by texting (816) 503-1643 , filling out contact form, or emailing kerri@hair360.org. I do not accept walk-ins to ensure each client receives my undivided attention, privacy and the best possible experience.
First-Time Clients
First-time clients are required to complete a consultation form before their appointment. Please arrive 10-15 minutes early to complete paperwork and discuss your hair and scalp concerns with your trichologist.
Arrival Time
Please arrive 5-10 minutes before your scheduled appointment time. This allows you to settle in, relax, and ensure your treatment begins promptly. Late arrivals may result in shortened treatment times to avoid disrupting other clients' schedules.
Late Arrivals
If you are running late, please call or text me immediately at (816) 503-1643. Clients arriving more than 15 minutes late may need to reschedule their appointment. Out of respect for our other clients and staff, we cannot extend treatment times beyond the scheduled appointment slot.
Cancellation & Rescheduling Policy
Cancellation Notice
We require 24-hour advance notice for cancellations or rescheduling. You may cancel or reschedule on your appointment reminders or by calling/ texting (816) 503-1643 or emailing kerri@hair360.org.
Late Cancellations
Cancellations made with less than 24-hour notice will be charged 50% of the scheduled service price. This policy allows us to offer the time slot to other clients who may be waiting for appointments.
No-Show Policy
No-shows (failure to appear for a scheduled appointment without prior notice) will be charged 100% of the scheduled service price. Future appointments may require prepayment on a credit card on file.
Emergency Situations
We understand that emergencies happen. If you experience a genuine emergency (illness, accident, family emergency), please contact us as soon as possible. We will work with you on a case-by-case basis.
Membership Policies
Membership Enrollment
All clients must complete an Epigenetic Hair Analysis & Consultation ($225) before enrolling in either membership tier. This ensures we create the most effective treatment plan for your unique needs.
Monthly Billing
Membership fees are billed monthly on the date of enrollment. Payments are automatic and will be charged to the credit card on file. Please ensure your payment information is current to avoid interruption of membership benefits.
Unused Monthly Treatments
Monthly membership treatments do not roll over to the following month. Members are encouraged to book appointments in advance (up to 60 days) to ensure they utilize their monthly benefits. Unused treatments expire at the end of each billing cycle.
Membership Cancellation
Memberships may be cancelled at any time with 30 days written notice via email to kerri@hair360.org. You will continue to receive membership benefits through the end of your 30-day notice period. No refunds are provided for the current month's membership fee. Accrued points will be forfeited upon cancellation.
Membership Pause/Freeze
Members may request to pause their membership for up to 3 months per year due to medical reasons, travel, or other circumstances. A $25 administrative fee applies. Contact us at kerri@hair360.org to request a membership pause.
Points System
Members earn points on all service purchases. Points can be redeemed for add-ons, treatment upgrades, or products. Points are valid as long as membership is active and in good standing. If membership is paused member may still receive services at member discount, however points may not be used until membership becomes active again. Points expire upon membership cancellation and cannot be transferred.
Payment Policies
Payment Methods
We accept all major credit cards (Visa, Mastercard, American Express, Discover) , HSA and debit cards. We also offer flexible financing through Cherry Financing and AfterPay for qualifying purchases.
Payment Due
Payment is due at the time of service. For treatment packages, payment plans may be arranged through our financing partners. Membership fees are automatically charged on your monthly billing date.
Gratuity
Gratuity is not included in service prices but is always appreciated. Industry standard is 15-20% for exceptional service. Gratuity can be added to your credit card payment or provided in cash.
Returned Payments
A $35 fee will be assessed for any returned checks or declined credit card payments. Future appointments may require prepayment if payment issues persist.
Gift Certificates
Gift certificates are available for purchase in any denomination and never expire. They can be redeemed for any service or product. Gift certificates are non-refundable but may be transferred to another person.
Health & Safety Policies
Health Disclosure
Please inform us of any medical conditions, allergies, sensitivities, or medications that may affect your treatment. This includes, but is not limited to: scalp conditions, skin sensitivities, pregnancy, recent surgeries, or any active medical treatments. Your safety is our priority.
Contraindications
Certain treatments may not be suitable for clients with specific conditions. We reserve the right to modify or decline service if we believe it may compromise your health or safety. If you have concerns, please consult with your physician before booking treatments.
Cleanliness & Sanitation
Hair360 maintains the highest standards of cleanliness and sanitation. All tools and equipment are thoroughly cleaned and disinfected between clients. We use professional-grade sanitation products and follow strict health and safety protocols.
Illness Policy
If you are feeling unwell, have a fever, or are experiencing contagious symptoms, please reschedule your appointment. Illness-related cancellations made with reasonable notice will not be subject to our standard cancellation fee.
Service Policies
Service Satisfaction
Your satisfaction is important to us. If you have concerns about your treatment results, please contact us within 7 days of your service. We will work with you to address your concerns and find an appropriate solution.
Treatment Customization
All treatments are customized based on your Epigenetic Hair Analysis and individual needs. Results and experiences may vary from person to person. Our trichologists will work with you to adjust treatments as needed to achieve optimal results.
Product Recommendations
Product recommendations are based on your analysis and treatment goals. All recommended products are available through our online shop at www.hair360.org/shop and ship directly to your home. We do not sell products in-house due to our affiliate partnership model.
Service Refunds
Services rendered are non-refundable. If you are unsatisfied with your treatment, please contact us within 7 days and we will work with you to find a satisfactory solution, which may include complimentary follow-up treatments or adjustments to your care plan.
General Policies
Privacy & Confidentiality
All client information, health history, and treatment details are kept strictly confidential in accordance with privacy laws. We do not share your information with third parties except as required for treatment purposes or with your explicit consent.
Photography & Social Media
We may request permission to photograph your treatment results (before/after photos) for educational or marketing purposes. Your consent is always required, and you may decline at any time. Photos are used anonymously unless otherwise agreed.
Children & Minors
Clients under 18 must be accompanied by a parent or legal guardian who must remain on-site during the appointment. Written consent from a parent or guardian is required for all treatments.
Valuables
Hair360 is not responsible for lost, stolen, or damaged personal items. Please keep your valuables secured at all times or leave them at home.
Right to Refuse Service
We reserve the right to refuse service to anyone who is disruptive, disrespectful, under the influence of alcohol or drugs, or whose behavior compromises the safety and comfort of our staff or other clients.
Policy Updates
Hair360 reserves the right to update these policies at any time. Current policies are always available on our website and at our location. Significant policy changes will be communicated to active clients and members via email.
